Overview

iBanFirst is a French Fintech company founded in 2013 on a Banking-as-a-Service model that allows businesses to make foreign currency payments and transfers using real-time rates. They employ over 250 people in Europe.

In June 2021, they raise 200 million euros to accelerate the company's growth.

Challenge

The company is growing fast and has to manage more and more personnel flows. This creates several friction points:

  • list resources: an excel sheet is filled out for each new arrival to indicate the resources to be allocated, an operation that multiplies the back and forth between the HR and IT departments.
  • temporary access links: when onboarding is prepared in advance, the login links may expire by the time the employee arrives.
  • identification of the administrators of each resource: the challenge was to be able to easily identify the administrator of the task in order to ensure its follow-up.
  • training of new employees: training to introduce tools to new employees could sometimes be too far in advance, before the employee's equipment was ready.


Together we decided to start the project with the department that recruits the most, the Sales department, which covers more than 70 sales people spread over 7 offices in Europe.

One of iBanFirst's key requirements is to have an application that integrates into its ecosystem. The company is equipped with an HRIS, an IAM and an MDM.

Solution

The iBanFirst routine today is as follows:

  • the HR department enters the arrivals and departures in BambooHR
  • employees are synchronized in Pyla
  • requests are automatically sent to all resource administrators to create access to a particular software, assign a computer or close a database access for example
  • IT and managers follow the progress of the requests in Pyla and can follow-up with the recipient, if necessary
  • At the same time, employees are synchronized in the Active Directory and then in the IAM and accesses for certain software resources are created automatically.


At any time, IT support knows which resources have been made available to an employee in order to ensure follow-up until offboarding.

Since implementing Pyla, iBanFirst has saved a considerable amount of time on each employee movement and has realized savings. Resources are allocated in a timely manner, there is a significant time saving in the retrieval of information and no more software is over allocated. For offboarding, all access is cut off when the employee leaves, which secures the data and allows the system to comply with ISO and RGPD standards.

They address their Grey IT issue(the use of systems, devices, software, applications and IT services that have not been explicitly approved by the IT department.) by mapping out what each team uses as hardware (badges, computers, screens...) and software.

Each license is reviewed by the IT department before being allocated. Assets and costs are rationalized.

On the interface side, it is more comfortable than Excel, more dynamic, more complete and more secure. There is no more need to fish for information, the HRIS is the employee's repository and synchronizes the information to Pyla: the resource repository. There is no longer any need to hold weekly meetings with the HR department to cross-check all the information. Administrators and recruiters now have control over tasks: have they been done? when? by whom? Pyla is the central node on this star network.


Today, onboarding, offboarding and internal mobilities of the Sales department are managed on BambooHR and resources on Pyla. The solution has been extended to the whole group.
