Pyla, a simplified joint stock company registered in the Paris Trade and Companies Register under number 884 603 408 and having its registered office at 6 chemin du Verger - 27650 Muzy (France), offers an intuitive solution that helps companies to better manage their resources (hereinafter the " Pyla Solution ") and publishes the website accessible at https://www.getpyla.com (hereinafter the " Website ")

The provision and use of the Pyla Solution and the Website requires the processing of certain Personal Data that identifies or makes identifiable a natural person (i) visiting the Website and/or transmitting Personal Data via the Website or (ii) employees and collaborators authorized by their employer to use the Pyla Solution for the management of their business expenses (hereinafter the " Users ", " the User ", " You ", " Your " and " Your ").

By subscribing to and/or using the Website and/or the Pyla Solution, You acknowledge and agree that Pyla may process certain Personal Data about You, as well as certain information about the workforce and resources registered via the Pyla Solution.

This Privacy Policy is intended to describe how Pyla processes Your Personal Information when using the Website and/or the Pyla Solution, and to inform You of Your rights in this respect. It may be updated, in particular in case of changes in the Personal Data Regulations or if we make improvements, additions or modifications to the Pyla Solution or the Website. The applicable version is the one accessible on the Website on the day of Your use of it and/or the Pyla Solution.

Pyla attaches the utmost importance to the security and integrity of the Personal Information entrusted to it. Pyla undertakes to take all necessary precautions to preserve the security of Personal Data and, in particular, to protect it against accidental or unlawful destruction, accidental loss, corruption, dissemination or unauthorized access, as well as against any other form of unlawful processing or disclosure to unauthorized persons.

To this end, Pyla implements security measures consistent with our industry standards to protect Personal Data from unauthorized disclosure. In addition, in order to prevent unauthorized access, ensure accuracy and proper use of the data, Pyla has put in place appropriate electronic, physical and managerial procedures to safeguard and preserve the data collected through its services.

Pyla has appointed a Data Protection Officer (DPO), who can be contacted by email(contact@getpyla.com) and whose role is, in particular, to ensure Pyla's compliance with the French Data Protection Act of January 6, 1978, as amended, and the General Data Protection Regulation of April 27, 2016 ("GDPR") (hereinafter together "the Personal Data Regulation"), but also to respond to requests and questions from data subjects.

I. How is Your Personal Information collected and processed by Pyla?

1) Personal Data collected on the Website

Pyla is the "controller" of the Personal Data collected through its Website.

1. What data is collected on the Website?

Personal Data concerning You may be collected when You browse the Website, namely mainly Your browsing data and Your IP address, notably through the use of Cookies.

In addition, identification data (last name, first name, email address (professional and/or personal), telephone number, CV if applicable) may be transmitted to us by You from the Website when You contact us via the contact forms or requests for demonstrations, or if You respond to a Pyla job offer.

If You transmit data, documents or information to us via the Website, we invite You to verify that these elements do not contain confidential or sensitive data (for example, social security number, driver's license number; medical data; confidential information relating to Your company or employer...) that are not necessary.

In some specific cases, Pyla may ask You for a copy of Your identity card, for example to verify Your rights to use the Website or a request to exercise Your rights under the Personal Data Regulation.

2. Why is this data being collected?

The primary purpose of collecting Your Personal Information is to provide You with an optimal, efficient and personalized experience when You use our Website and its features.

The processing of Your Personal Data is based on Your consent and is intended to give You access to the Website and its various functionalities, to respond to Your requests and inquiries, but also to improve Your navigation, our services and offers, and to keep You informed of our news.

You may of course, at any time, contact us about this and exercise Your rights under the Personal Data Regulation (see II "What are Your rights?" below).

3. How long is the Personal Information kept?

Pyla has defined retention periods for Personal Information collected from its Website.

With regard to Your navigation data, the retention period for "Cookies" is 13 months after the collection of Your consent on our Website.

For requests for information, contact or demonstration, Your Personal Data is kept for a period of 36 months since our last contact.

With respect to Your responses to our job offers or unsolicited online applications, we keep Your Personal Data for the duration of our recruitment process or for the duration necessary to examine Your application and, with Your consent, for an additional period of 2 years. If Your application is accepted, we keep Your Personal Data for the duration of the employment contract and an additional period of 5 years after the end of our collaboration.

These retention periods are applicable subject to the exercise of Your rights under the Personal Data Regulation, as indicated above.

2) Processing of Personal Data related to the use of the Pyla Solution

The Pyla Solution is made available to Users (employees or collaborators). In this context, the processing of Personal Data is carried out by Pyla in its capacity as "processor" of Personal Data as defined by the Personal Data Regulation, and on Your behalf (the client and employer) in its capacity as "controller".

1. What data is collected for the use of the Pyla Solution?

Within the framework of the use of the Pyla Solution, information may be collected and kept by Pyla, allowing to securely identify the Users, to keep the history of their visits to the Website and their use of the Pyla Solution, information on documents and data transferred to Pyla, professional information on the identification of the Users in the company, role and team, as well as the exchanges with our teams.
It is the responsibility of the data controller to verify that the information or documents transmitted do not contain any non-consented sensitive personal data, including via third party data entered into the Pyla Solution.

For certain processing operations, Pyla may use subcontractors, in compliance with its obligations and commitments to the data controller and the Personal Data Regulation.

Pyla undertakes to ensure the utmost security and confidentiality of information, including Personal Data, whose processing is entrusted to it by the data controller.

It is the responsibility of the Users of the Pyla Solution to use it in compliance with the authorizations defined by their employer and to ensure the security of their access to the Pyla Solution, in particular by not sharing their personal identifiers and passwords, by renewing them regularly and by immediately informing their employer and/or Pyla of any loss, disclosure or fraudulent intrusion.

2. Why is Personal Information collected?

Pyla needs to collect this Personal Data to execute the contract concluded with the employer having subscribed to the Pyla Solution and, consequently, to provide Users with access to the Pyla Solution and a use in accordance with the said contract, but also to comply with its legal obligations, in compliance with the Personal Data Regulations.

In order to apply the principle of minimization of the processing of Personal Data, Pyla limits the collection and processing to the data and for the purposes strictly necessary for the performance of its contractual and legal obligations.

In particular:

  • Users' contact information is processed to allow the sending of information related to the Pyla Solution, its operation or their use;
  • User connection data is used to guarantee the connection of employees, to identify them and provide them with access to the Pyla Solution, and to invoice their employer for the Pyla service;
  • the identification of the position or function of the Users and any other HR data allowing to define the rights and authorizations for the use of the Pyla Solution and the allocation of resources as set by the main administrator;
  • Equipment data is intended to track the inventory by the employer;

3. How long is your data kept?

Pyla retains the Personal Data necessary for the use of the Pyla Solution for as long as You use the Pyla Solution and for an additional 24 months after the end of such use, in order to provide the necessary data to the data controller and to meet its contractual and legal obligations.

II. What are your rights?

1) How to exercise Your rights?

In accordance with the Personal Data Regulation, You have the right to access, rectify, limit, delete and cancel the Personal Data concerning You, as well as the right to object and the right to portability.

You can modify Your Personal Identification Data (title, first name, last name, email, phone number, password) at any time by logging into the "My Profile" section of Your account, in accordance with the identification and use policy of the Pyla Solution that may have been set up by Your employer.

You may request to exercise Your rights with Your employer (data controller), but also by writing to us directly at: contact@getpyla.com. We will acknowledge receipt of Your request and respond within 30 days, which may be extended. We may require that your request be accompanied by a photocopy of an identity document, which will be kept only as long as it takes for us to carry out this verification, and we will inform Your employer of the nature of Your request and the action to be taken.

2) Where is your data stored?

The servers on which Pyla processes and stores Personal Data are located in France for the Solution and in the United States for the Website.

3) Is your Personal Information shared with third parties?

Pyla does not sell or rent Your Personal Information to third parties.

Due to the use of certain tools associated with the Pyla Solution, for example to ensure the commercial service of the Pyla Solution, certain data may be transmitted to third party partners or suppliers. The list of these partners and suppliers is available upon written request.

For each of these partners, Pyla requires full compliance with the Personal Data Regulation and written contractual guarantees regarding the security and confidentiality of the processing.


Pyla does not otherwise disclose your personal data to third parties unless: (1) you (or your account holder acting on your behalf) request or authorize disclosure; (2) disclosure is necessary to process transactions or provide services you have requested; (3) Pyla is compelled to do so by a governmental authority or regulatory body, in the case of a court order, subpoena or other similar requisition from a government or the judiciary, or to establish or defend a legal claim; or (4) the disclosure is necessary to comply with Pyla's legal and/or regulatory obligations
