Overview

CTN is a French accounting group created in 1929. They have a hundred employees spread over several sites, and have more than 2,500 clients, from small businesses to the CAC40. The company is equipped with GLPI and OCS for inventory and Azure AD for identity management. 

Challenge

Coordinate efficiently HR, business and IT for the preparation of equipment, software access, badges,... when employees enter or leave the company:

  • Leave the traditional process (emails, calls, excel files,...) to centralize and automate the exchanges on the one hand and to follow the endowments on the other hand
  • Document the allocation of resources: to keep track of: which resources are used in the company, by whom, what is equipped for which employee? What are the needs of such and such a team?...
  • Have requests that start in HR, go through the manager and arrive at IT. The manager's involvement allows him to validate and adjust what needs to be prepared.

The work was divided between the HR Director Karine Delannoy, the business units, and the IT Manager Sébastien Burgeat. This resulted in a complex and unclear organization, a source of errors and oversights!

Each time an employee arrived, an email or phone call was made from the HR or department head to IT, indicating the name, first name and function of the employee, sometimes with erroneous or missing information and a short delay in relation to the employee's arrival date. 

Offboarding was complex because there was no knowledge of the employee's equipment: what access they had, what equipment... to be able to retrieve everything when they left. The Covid period accentuated the phenomenon: equipment and telecommuting solutions were made available during this period, making it even more complicated to keep track of who had what. In addition, there was a shortage of IT profiles on the market to strengthen the IT department.

The CTN France group decided to equip itself with a resource management software and an HRIS, to have two reliable and complementary repositories. On the one hand, an employee repository with the HRIS, and on the other hand, a resource repository with Pyla, to automate staffing requests and coordinate HR, IT and department heads. This also makes it possible to document and trace employee movements, so that it is not just in the head of the IT manager. 

Solution

The implementation was quick thanks to the availability of the teams and the first benefits were noticed from the first month of use. 

First, we had to build a matrix of "who to what" according to the roles of the employees at CTN France by consolidating the various Excel files used internally. The matrix was then imported into Pyla to create the Catalogue of Resources to be assigned to the employees of CTN France.

For each resource, the administrators who would receive the allocation/unallocation requests and the associated inventories were filled in.

Once the resources and teams were entered into the platform, all employees were imported. The HR department was then able to enter the arrivals/leavings in Pyla and notify the department head (or manager) who, in turn, validates/adjusts the list of proposed resources. He then triggers the requests to the different resource administrators concerned: IT (hardware & software), HR (payroll software), CEO (business software), Furniture (equipment and furniture). 

The shadow work of all these administrators is finally put forward with respect to the heads of department, as Sébastien Burgeat underlines. 

Since the implementation of Pyla, the team has saved a considerable amount of time on input and output. Requests are sent in time to the resource administrators, each one finds in Pyla the complete information he needs to allocate a computer or open an email access for example. The IT department manages its IT assets in GLPI and software access in Azure AD and VADE Secure.
