Managing intermittent and multi-site workforce flows

Studio TF1 (a subsidiary of the TF1 Group) is a leader in audiovisual production and distribution with a strong international presence. The group employs approximately 2,000 people. In France, more than half of these are freelance entertainment industry workers spread across several locations (Sète, Marseille, Paris, etc.).

Before adopting Pyla, coordination between HR, production, and IT was complex and relied on fragmented processes (SharePoint, Excel, Power Automate). This manual approach created significant risks:

  • Constant staff turnover: a succession of very short-term (temporary) contracts, making it difficult to track access and equipment.
  • Lack of visibility: at any given moment, it was impossible to know exactly which freelance workers were still on staff, who was coming back, and who had access to which equipment or active accounts.

The Pyla Solution

A centralized orchestrator for IT and HR

At Studio TF1, the IT department supports two types of users: 

  • The workforce managed by HR: permanent employees, temporary employees, work-study students, vocational trainees, and interns, all of whom are managed using the ADP HRIS solution. 
  • The population of freelance workers, which is organized by trade, specifically audiovisual production.

Pyla will integrate and centralize HR data on one side (via ADP) and production data on the other, which will bring all the information together in one place and facilitate coordination among teams (IT operations, managers, HR, General Services, etc.).

The tool acts as a smart ticket management system that notifies the right departments (IT, ID badges, furniture) at the right time.

  • Direct savings on licenses: The visibility provided by Pyla made it possible to reclaim and reassign approximately 200 Office 365 licenses that were no longer in use.
  • Optimization of the hardware inventory: approximately 100 pieces of IT equipment (computers, peripherals) were identified as unused and returned to inventory.
  • Enhanced physical security: Offboarding tracking now ensures that access badges are systematically deactivated when employees leave the company.
