Find out how the Revue Fiduciaire Group (GRF) regained 360-degree visibility into its IT infrastructure and software and secured its offboarding processes.

Background and Challenges

Moving away from "outdated" and siloed management

Founded over 100 years ago, the Revue Fiduciaire Group is a leading publisher of legal and technical literature in France. With approximately 100 employees based in Paris, the company manages a constant turnover of staff across a variety of areas of expertise (taxation, payroll, HR).

The crisis arose from the health crisis: the massive, urgent shipment of equipment for remote work disrupted the tracking of the devices.

  • Loss of control: difficulty keeping track of exactly "who has what" when it comes to office supplies and home office equipment.
  • Manual processes: a shared Excel file used by HR, General Services, and IT that led to errors and omissions.
  • Security compromised: Software accounts remained active after employees left, creating security vulnerabilities and unnecessary costs.

"Our management methods were based on trial and error and somewhat outdated. The shift to remote work made it imperative to restructure our IT department."
Jean-Christophe Heuriau, CIO at GRF.

The Pyla Solution

A centralized orchestrator for IT, HR, and managers

To address these challenges, GRF has chosen Pyla as its centralized orchestrator. Unlike the old system, Pyla enables the delegation of tasks and empowers each participant in the collaborative process.

A comprehensive resource catalog

The rollout was carried out in phases to identify all resources:

  • Equipment: PCs, peripherals, remote work equipment, access badges, and keys.
  • Software & Access: Office 365 licenses, industry-specific software, and subscriptions.

Workflow automation

Now the process runs smoothly:

  1. HR Onboarding: When an employee is added to Pyla, the workflow is automatically triggered.
  2. Validation Manager: The manager receives a notification to validate or adjust the resource packages predefined for each profile.
  3. Targeted distribution: Each administrator (IT, General Services, Business Units) receives only the tasks that pertain to them, with full traceability.

The benefits

Enhanced security and immediate ROI

The adoption of Pyla has enabled a shift from reactive management to proactive leadership.

  • Security & savings: From the very first offboarding processes, GRF identified seven Office 365 accounts that had remained active for employees who had already left the company. The immediate deactivation of these "ghost licenses" generated a direct return on investment.
  • High-quality onboarding: new employees are up and running from day one, strengthening the group’s employer brand.
  • Time savings: IT and HR no longer waste time on manual follow-ups. That time is now reinvested in the strategic management of the employee lifecycle.

Manager engagement: A sign of success is that managers are now the ones proposing to add new resources to the Pyla catalog to refine their management practices.

"With Pyla, we're improving the quality of our onboarding processes and our ability to get things done. It saves us valuable time in our day-to-day operations."
Jean-Christophe Heuriau, CIO at GRF.
