Background and Challenges

Rapid growth versus manual processes

Before Pyla, the employee experience was compromised: some new hires had to wait up to two weeks to receive all their access credentials, and multiple support tickets were generated, which led to oversights and errors. 
When employees moved within the company, they often retained access to applications even after it was no longer necessary. This sometimes led to a situation where resources were left unused. 
There were also issues during the offboarding process, as some employees retained their access privileges, exposing the company to security risks, DLP risks, and data leaks. 
IbanFirst chose Pyla because it had become urgent to streamline the IT-related onboarding, offboarding, and internal mobility processes.

The Pyla Solution

A central hub for managing resources

Pyla has been integrated as the orchestration layer on top of the information systems (HRIS, IAM, MDM) to automate every process.
After a simple, guided setup, the solution was integrated with the BambooRH HRIS to retrieve employee start and end dates, with Jira for creating service desk tickets, and with Okta for SSO and single sign-on capabilities.  
The IT team is now notified of every employee action and automatically knows what permissions to grant or revoke based on each employee’s profile and the instructions provided by their manager.
Several times a day, the service desk officer receives a notification and logs into the platform to see what needs to be done, and the IT manager can accurately track the progress of all onboarding and offboarding processes from their dashboard.

Centralization and profiling

Pyla allows you to link each hardware or software resource (Salesforce, HubSpot, Jira) to specific user profiles.
Today, several other departments—such as Revenue Ops and Marketing teams—have also started using the solution to track regular logins and logouts and manage access to their business tools, such as Salesforce, HubSpot, and Modjo.

Workflow automation

The workflow is now smooth and well-managed:

  • HRIS Trigger: New hires entered in BambooHR are synced with Pyla.
  • Access management: Pyla oversees the creation of accounts in Okta (SSO) and tickets in Jira Service Desk, and coordinates with business managers to ensure updates to their applications (Salesforce, HubSpot, Modjo).
  • Automatic notifications: Administrators receive customized alerts to prepare equipment or access.
